Recruitment Privacy Notice

How DIRT AND GLORY MEDIA LTD uses personal information about job applicants

Last updated 9 September 2026

This notice applies when you apply for employment, work experience, an internship or another role with us. It explains what information we use during recruitment, why we use it, who receives it and how long it is kept.

Who we are

DIRT AND GLORY MEDIA LTD, company number 09070869, is the controller of applicant information used for our recruitment. Our registered office is 35 Ballards Lane, Finchley, London, N3 1XW.

Information we collect

Depending on the role and stage of the recruitment process, we may collect:

  • your name, address, email address, telephone number and other contact details;
  • your CV, application, covering letter, portfolio and work samples;
  • employment history, education, qualifications, professional memberships, skills and experience;
  • salary expectations, notice period, availability and preferences about the role;
  • interview notes, assessment results, correspondence and feedback;
  • references and information provided by referees, recruitment agencies or former employers;
  • proof of identity, age and right-to-work information where required;
  • information relevant to conflicts of interest, outside work or restrictions affecting the role; and
  • records relating to offers, acceptance, withdrawal or the outcome of your application.

Sensitive information

We may use limited special category information where necessary, for example health or disability information needed to make reasonable adjustments, and equal-opportunity monitoring information if we carry out such monitoring. We keep monitoring information separate from selection decisions wherever practicable.

For special category information, we rely on an Article 6 lawful basis described below and an additional condition under data protection law, such as employment and social protection law obligations or the establishment, exercise or defence of legal claims. If a role lawfully requires criminal-record information, we will explain the requirement and applicable legal condition before collecting it.

How and why we use applicant information

Managing and assessing applications

We use applications, CVs, portfolios, interview notes and related correspondence to assess suitability, compare candidates, arrange interviews and communicate decisions. We rely on steps taken at your request before entering an employment contract and our legitimate interests in running a fair and effective recruitment process.

Checking eligibility and information

We may verify qualifications, experience, references, identity and the right to work in the UK. We rely on pre-contract steps, legal obligations and legitimate interests, depending on the check and the stage of recruitment.

Making an offer and preparing employment

If we make an offer, we use relevant information to agree terms, prepare an employment contract and complete necessary onboarding checks. We rely on pre-contract steps, contract and legal obligations.

Reasonable adjustments and legal duties

We use information about requested adjustments to make the recruitment process accessible and meet our legal obligations. We may also retain appropriate records to demonstrate fair treatment and establish, exercise or defend legal claims.

Future opportunities

If you agree, we may keep your application for a limited period and contact you about another suitable role. You can ask us to remove you from consideration at any time.

Information you need to provide

You do not have to provide information to make an initial enquiry. However, we need enough information to assess an application and, if an offer is made, to confirm identity, eligibility and the right to work. If required information is not provided, we may be unable to progress the application or complete the appointment.

Where information comes from

Most applicant information comes directly from you. We may also receive information from referees, recruitment agencies, former employers, professional bodies, right-to-work or background-check providers and publicly available professional sources such as LinkedIn or a portfolio website.

Who we share information with

Access is limited to people involved in recruitment and appointment. Where necessary, we may share relevant information with:

  • employees and managers involved in recruitment, interviewing and approval;
  • recruitment agencies and providers of application, interview or assessment services;
  • referees, former employers, professional bodies and eligibility-check providers;
  • providers of email, cloud storage, HR, IT and security services;
  • lawyers, accountants, insurers and other professional advisers; and
  • regulators, courts, law-enforcement bodies and public authorities where required or permitted by law.

Service providers acting on our behalf must protect applicant information and use it only for the services they provide.

International transfers

Some technology and service providers may process personal information outside the United Kingdom. Where this amounts to a restricted transfer, we use a lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. We also assess whether additional protections are needed. Contact us if you would like more information about safeguards relevant to your information.

How long we keep applicant information

If your application is unsuccessful or you withdraw, we normally keep the recruitment record for 12 months after the recruitment process ends. This allows us to respond to questions, demonstrate how the process was conducted and deal with legal claims. If you agree to be considered for future roles, this 12-month period also applies unless you ask us to delete your information sooner.

If you join us, relevant recruitment information becomes part of your employment record and is retained under our employee retention arrangements. Identity or eligibility documents may have different retention periods where the law requires this. We may keep limited information for longer where necessary for an active complaint, investigation or legal claim.

Recruitment decisions

We do not make recruitment decisions using solely automated processing that produces legal or similarly significant effects. Technology may help organise applications, but a person remains involved in decisions about progression and appointment.

Your data protection rights

Depending on the circumstances and our lawful basis, you may have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to processing based on legitimate interests;
  • receive certain information in a portable format where the legal conditions apply; and
  • withdraw consent at any time where we rely on consent, without affecting earlier lawful processing.

These rights are not absolute and exemptions may apply. We may ask for information to confirm your identity. We normally respond within one month and do not usually charge a fee.

Your right to object. You may object to processing based on legitimate interests. We will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

How we protect information

We use appropriate technical and organisational measures designed to protect personal information from accidental or unlawful loss, alteration, disclosure, access or destruction. Access is limited to people who need the information for their work, and we require service providers to protect information entrusted to them.

No online service can be guaranteed completely secure. If a personal data breach occurs, we will assess it promptly and notify affected individuals and the Information Commissioner's Office where the law requires us to do so.
